Zoom Integration
Knolyx Tech SRL · knolyx.com
Knolyx integrates with Zoom to let hosts schedule and run live video sessions — for courses, resources, events, cohort sessions, and learning paths — directly from Knolyx, without leaving the platform to create a Zoom meeting by hand. Once a host connects their Zoom account, Knolyx creates and manages the underlying Zoom meeting on their behalf, gives the host a one-click way to start it, and gives invited participants a link to join.
What the integration does
- Creates a Zoom meeting automatically when a host schedules a live session in Knolyx, using the session’s title, description, start time, and duration.
- Lets the host start the Zoom meeting directly from Knolyx.
- Gives participants a join link for the scheduled session.
- Adds co-hosts (other Knolyx users on the same content with a connected Zoom account) as alternative hosts on the Zoom meeting.
- Captures who attended a session after it ends (name, email, join/leave time) so hosts can see an attendance record inside Knolyx.
- Links to the cloud recording and transcript, when Zoom generates one, from inside Knolyx.
Knolyx does not host or store the video/audio of your meetings, recordings, or transcripts — those remain Zoom cloud assets. Knolyx stores links and metadata pointing to them, as described in our Privacy Policy.
Connecting your Zoom account
- From your Knolyx account settings, choose the option to connect your Zoom account.
- You’ll be redirected to Zoom to sign in (if needed) and approve the permissions Knolyx is requesting.
- Zoom will ask you to approve access to: create, view, update, and delete meetings on your behalf; read past meeting and participant information; read cloud recordings; and start a meeting as host. Knolyx requests only what it needs to schedule, run, and report on the live sessions you create.
- After you approve, you’re redirected back to Knolyx and your account shows as connected.
You must connect your own Zoom account before you can host a live session through Knolyx. Participants joining a session do not need a Zoom account connection — they simply use the join link.
Scheduling and starting a live session
- When creating or editing a live session (course session, event, resource session, etc.) in Knolyx, the session is scheduled the same way as any other content — with a title, description, start time, and duration.
- Because these are used as the Zoom meeting’s topic, agenda, start time, and duration, a corresponding Zoom meeting is created (or updated, if you edit the session afterward) automatically — you do not need to separately log into Zoom.
- If you add co-hosts who also have a connected Zoom account, they are added to the Zoom meeting as alternative hosts.
- As the host, you’ll see a “start” option on the session that launches you directly into the Zoom meeting with host controls, without needing to separately sign in to Zoom.
Joining as a participant
Participants access a separate, non-privileged join link from the live session page in Knolyx. This takes you straight to the Zoom meeting through Zoom’s standard join flow. If the meeting has a password set, Zoom will prompt for it as usual.
Disconnecting / removing the integration
You can remove the Zoom integration in two independent places — we recommend doing both if you want to fully revoke access:
From your Knolyx account:
- Go to your Knolyx account settings where you originally connected Zoom.
- Choose the option to disconnect your Zoom account.
- Knolyx will revoke the connection with Zoom and remove the stored connection from your account.
From your Zoom account directly:
- Sign in to your Zoom account at zoom.us.
- Go to Manage → Installed Apps.
- Find Knolyx in your list of installed apps and select Remove.
Removing the app from Zoom’s side stops Zoom from honoring the connection even if you don’t separately disconnect it from Knolyx — the next time Knolyx tries to use that connection, it will detect that access is no longer valid and prompt you to reconnect.
Disconnecting does not delete your existing live sessions, past attendance records, or recording/transcript links already stored in Knolyx — it only removes the ability to create new Zoom meetings or start existing ones until you reconnect. For questions about deleting stored data, see our Privacy Policy or contact support (below).
Troubleshooting
“Not connected” or a reconnect prompt when trying to schedule/start a session
Your Zoom connection may have expired, been revoked from Zoom’s side, or lost required permissions. Reconnect your Zoom account using the steps above — you’ll be asked to approve access again.
“Missing permissions” message
Knolyx checks that your connected Zoom account has granted all the permissions the integration needs. If you approved a partial set (or Zoom’s own account settings restrict some of them), you’ll see a message indicating a reconnect is required. Disconnect and reconnect, making sure to approve all requested permissions.
Can’t start the meeting as host
Make sure you’re signed in to the same Knolyx account that is set as host on the session, and that your Zoom connection is active (see above).
Attendance or recording not showing up
Attendance and recording links are populated after the meeting ends, once Zoom notifies Knolyx that the meeting has concluded and (for recordings) that a cloud recording has finished processing. This can take some time after the meeting ends. If a recording never appears, your Zoom plan or account settings may not support cloud recording, or recording may not have been enabled for that meeting.
